Privacy notice
Last updated: 12 August 2026. This is a plain-language summary of how we handle data. It is a template that our customers can review with their own counsel.
2. What we do not collect
We do not store your SAP credentials on our servers. Credentials entered in the mobile app are held only in the device secure keystore (iOS Keychain / Android Keystore).
We do not store your approval or business data. Work items, documents, amounts, requesters, comments and decisions travel directly between the app and your SAP system and are never routed to, copied to, or retained by us.
We do not use third-party analytics, advertising or behavioural tracking SDKs in the mobile app.
3. What our backend is used for
We operate a small backend (hosted on Supabase) used solely for organisation activation and licensing: activation codes, the organisation record, licensed approver counts and subscription status.
This backend does not receive SAP credentials and does not receive approval content.
4. Information you give us directly
If you submit the demo or quote form, or email us, we process the details you provide — such as your name, work email, company and message — solely to respond to your enquiry and manage the resulting commercial relationship.
This website does not set analytics or advertising cookies.
5. Legal basis and retention
Where applicable data-protection law requires a legal basis, we rely on legitimate interests (responding to business enquiries and operating the service) and on the performance of a contract with the customer organisation.
We keep enquiry records for as long as needed to handle the enquiry and any resulting contract, and licensing records for the duration of the subscription plus any statutory retention period.
6. Sharing
We do not sell personal data. We share data only with infrastructure providers that host our licensing backend and business email, acting under contract on our instructions, and where required by law.
7. Your rights
Subject to your local law, you may request access to, correction of, or deletion of personal data we hold about you, and object to or restrict certain processing. Write to hello@workflowpilot.app and we will respond within a reasonable period.
Where the data concerns an approver within a customer organisation, we may need to coordinate the request with that organisation as the controller of its SAP data.
8. Security
We apply the technical measures described on our Security page, including TLS with certificate validation, per-user named SAP authentication, secure keystore credential storage and an optional biometric gate.
9. Changes
We may update this notice as the product develops. Material changes will be reflected on this page with a revised date.
